Executive Assistant (FT)

Title: Executive Assistant Department: Administration

Status: 40 hours/week – Full Time Hours may be adjusted in response to workload demands; must be able to work flexible hours. Low census may be utilized in accordance with hospital policy.

Role/Position Definition:

This position will support the CEO/President by providing comprehensive, confidential and strategic administrative support. The Executive Assistant is exceptionally organized, proactive and resourceful. The Executive Assistant will help keep projects moving forward, ensure effective communication between leadership and staff, and provide key operational support. Provides administrative and clerical support to the Hospital Board Members and Medical Staff which may include preparing schedules, occasional correspondence, scheduling meetings, and taking minutes. Provides additional clerical duties for committees/meetings as assigned.

Qualifications/Position Requirements:

  • EDUCATION/EXPERIENCE
  • Associates Degree preferred or equivalent experience.
  • Minimum of 5 years experience as an Executive Assistant or similar role, preferably supporting C-Level Executives.
  • Familiarity with medical terminology, preferred.
  • Ability to read, write and speak the English language.
  • Excellent interpersonal and communication skills, required.
  • PERSONAL/SKILLS
  • Ability to maintain confidentiality of records and information.
  • Demonstrates ability to establish effective working relationships and effective communication with peers, patients, families, providers and all other hospital personnel.
  • Advanced organizational skills to manage time, coordinate calendars, prioritize tasks and meet deadlines
  • Demonstrates ability to manage multiple tasks in a stressful situation while maintaining composure and excellence.
  • Exhibits exemplary critical thinking, and technical skills essential to the job.
  • Requires use of discretion, independent action and judgment based on policies and procedures.
  • Continually promotes excellence in the delivery of services to both internal and external customers.
  • Evidence of a sense of responsibility, initiative, honesty and a positive attitude.
  • Supports and contributes to the total hospital system by maintaining a hospital-wide perspective and serving on department/hospital committees as indicated.
  • Knowledge of ability to use various office equipment including: computers, multiple computer software programs, copiers, fax, printers, multi-line phone system, and other office equipment.
  • Ability to type efficiently and spell accurately.
